Film and Video Production

Guidelines regarding film and video production, as well as coordination of permits, public safety protocols, and licensing, are handled through the university's Office of Marketing and Brand Management. Please contact the office directly if you do not find the information you need below.


Contracts and Releases

Always solidify a contract with any film and video production company or freelance professional prior to filming. This can be done through a signed contract specifying the work to be done, the maximum budget, and the responsibilities of the company or freelancer and the University of Oregon. Be sure the contract gives ownership of all film (including pre- and post-production video) to the University of Oregon. The contract with third-party vendors hired by UO departments must be approved through the university’s Office of Purchasing and Contracting Services.

In addition, a model release form may be necessary for most film involving people amid UO locations. When filming a group of people, such as inside of a classroom or at a small event, try to gather model release forms prior to filming.


Commercial Film, Video, and Photography Activities

Film, video, and photography activities should not negatively impact students or the learning environment. Permission is required for commercial filming or photography. The Office of Marketing and Brand Management is responsible for contracting commercial filming activities that occur on campus.

Consideration will be given to requests for weekend filming as long as there are no major events taking place on campus. No major set construction or alteration of existing buildings or structures are permitted. Any decoration must be clearly specified in writing and all affected areas must be returned to their previous state following filming.

As a requirement for permission to film commercial activities on the University of Oregon’s campus, the content of the film script and any revisions must be submitted for approval to the Office of Marketing and Brand Management. If for any reason the UO determines any aspect of the production is not in the best interest of the University of Oregon, or that it is defamatory in any way, an agreement may be terminated.

For nonbroadcast video that needs additional UO branding, use a watermarked O, at 75 to 85 percent opacity (based on background footage and creative), in a lower corner within full-raster, video-safe viewing area.

Pre- and Post-Roll and Audio Introductions

A University of Oregon master logo should be added to the end of any nonbroadcast, social media, or online video production. Once the program/video fades to black (or hard cuts to black if appropriate for the edit), a horizontal UO master logo (in white) should appear in a 12-frame fade up (if producing in 24 fps). This should remain on screen for five seconds.

Location Services and Permitting

All commercial filming on campus is managed through the Office of Marketing and Brand Management.

Marketing and Brand Management will bill licensees (such as photographers and videographers) for the costs of any necessary or appropriate security, maintenance, electricity use, supplies, equipment, and crowd control, as well as other location fees as applicable. These will be billed at actual cost.

All filming must be approved at least three (3) weeks in advance to limit disruption of the normal UO campus schedule, and to approve scripts and concepts in advance of permitting in order to ensure proper use of the University of Oregon brand identity. While the University of Oregon does limit the use of some prominent landmarks, exceptions may be granted.

Public Safety Coordination

All commercial photography and video shoots are scheduled by the Office of Marketing and Brand Management in coordination with campus operations and security (University of Oregon Police Department). Prior to approving any application for photography or video, security is consulted to ensure all expectations can be met, both for the entity doing the filming and the University of Oregon in general.

CODEC and Format

As broadcast and online distribution follow many different video standards and formats, it’s the responsibility of the producer or production company to adhere to the highest video standards and those of the network, online community, or station. For national broadcasts, producers will utilize distribution services such Extreme Reach for management, delivery, and quality control of finished commercials.

Minimum Requirements:

Small HD: 1280 x 720; H264; preferably 24 fps
Full HD: 1920 x 1080; ProRes 422HQ; preferably 24 fps


Archival Solutions

Along with standard producer and production company protocols for archiving produced work (commercial, online, or nonbroadcast), a full HD version is preferred. Minimum requirements: 1920 x 1080; ProRes 422HQ; preferably 24 fps
